The PRIDE Industries facility in Roseville, CA manufactures items used in the United States military and defense and controlled under the International Traffic in Arms Regulations (ITAR). This regulation requires PRIDE comply with a specific set of rules set forth by the U.S. State Department, therefore, PRIDE is registered with the Department of Defense Trade Controls (DDTC). ITAR Regulations dictate information and material pertaining to defense and military related technologies may only be shared with U.S. Persons unless an authorization from the Department of State is received or a special exemption is used. As a result, this facility must restrict access to individuals not classified as a U.S. Person or holding an exemption, from entering any U.S. Export Controlled [ITAR] facility.

There are no direct reports with this position.

 

 

POSITION SUMMARY: 
Under limited supervision the Executive Assistant II supports various Executive/Senior Leadership roles by performing a wide variety of advanced administrative responsibilities. Employees in this job class work autonomously to represent Executive/Senior Leaders in a variety of communications with various audiences, and to redirect or refer inquiries as appropriate. This job requires broad organizational knowledge, familiarity with PRIDE’s businesses, customers and communities and the discretion to act appropriately in a business, confidential environment.

 

 

TYPICAL DUTIES:
1. * Serves as first point of contact with the Executive/Senior Leadership office for all communications and decides independently to redirect or refer communications based on consultations with the Executive/Senior Leaders.

2. * Exercises appropriate judgment in representing the Executive/Senior Leaders and PRIDE in oral and written communications to a wide variety of audiences including employees, managers, Vice Presidents, senior executives, board members, and customers.

3. * Prepares and processes confidential documents, meeting agendas, presentation materials, and human resource items. Writes, researches, and reviews a wide range of material such and internal and external correspondence, meeting agendas, audit documentation and financial documents.

4. * Manages Executive/Senior Leaders’ calendars, schedules, and meetings. Provides resources, background materials and information to prepare the Executive/Senior Leaders for meetings, coordinates travel arrangements. Coordinates department workflow, which may include serving as a lead over one or more administrative staff, establishing and communicating priorities, and maintaining confidential files and records.

5. * Manages the Executive/Senior Leaders’ offices to ensure smooth operation. Tracks and follows-up numerous items between the Executive/Senior Leaders and direct reports.

6. * Manages a heavy volume of meetings with internal and external clients, senior executives, and Vice Presidents. Assumes initiative to learn meeting requirements, research and create presentations, communicate with participants, ensure materials are generated, reserve conference rooms, and arrange services.

7. Performs other duties and special projects as assigned.

MINIMUM QUALIFICATIONS:
• Five years of experience in an executive support role at the VP level, with responsibilities for office management and administration;

• Ability to establish effective working relationships with senior executives, Vice Presidents, customers, external agencies and other high-profile individuals;

• Ability to establish priorities and anticipate the needs of the Executive/Senior Leaders, with urgency and flexibility in responding to changing priorities and handling numerous projects at the same time;

• Superior internal and external customer service skills to respond to customer inquiries and requests, refer or escalate matters appropriately and use discretion to maintain confidentiality;

• Excellent time management and planning abilities to prioritize workload and meet critical deadlines. Flexibility for responding to changing work priorities, handling numerous projects with competing priorities, and working calmly in a fast-paced environment;

• Ability to communicate effectively and respond to questions and requests from team, customers and others;

• Effective written communication skills using appropriate business English;

• Human relations skills to maintain effective working relationships with team;

• Effective customer service skills;

• Intermediate computer literacy including knowledge of word processing, spreadsheet, database and presentation software;

• Basic mathematical ability including addition, subtraction, multiplication, and division;

• Demonstrated customer service, problem solving and common sense skills.

 

 

EDUCATION REQUIREMENTS:

High School Diploma or GED

PHYSICAL REQUIREMENTS:

Employees must have the ability to perform the following physical demands for extended periods of time with or without assistance:

• Viewing computer screen/monitor  
• Utilizing keyboard
• Answering phone/making calls

 

 

WORK ENVIRONMENT:

Work is performed in a normal office environment with limited privacy and some exposure to background noise. Employees may be required to work in excess of 8 hours in a day and/or 40 hours per week.
